PDF to Word: what converts well and what does not

Converting a PDF back into an editable Word document sounds simple, but it is genuinely hard. A PDF describes where to draw each piece of text on a page; it does not contain paragraphs, columns or tables the way a Word file does. Any converter has to guess the structure by looking at how the text is positioned. Knowing how that guess works helps you choose the right approach. Converting PDF to DOCX is the same job under a different name, and the same limits apply.
What converts well
- Text-based, single-column documents such as letters, articles, reports and manuals.
- Clear headings. Larger or bold lines are recognised as headings.
- Simple lists and centered titles.
What often needs manual clean-up
- Tables. Columns are only text at certain positions, so they usually come out as tab-separated text. Copy the data into a real table or into a spreadsheet.
- Multiple columns and magazine layouts. Lines from neighbouring columns can be interleaved.
- Forms, equations and complex graphics.
- Pictures. In editable-text mode the images are not carried over.
Scanned PDFs
If you can’t select or search the text in your PDF, it is a scan: each page is a photograph of text. There is no text to extract, so you need OCR (optical character recognition). Options include OCR features in dedicated scanning software, the way Google Docs can convert an uploaded image or PDF, or recent versions of Word that reflow some PDFs. Our PDF to Word tool doesn’t include OCR; for scans it offers Page images mode, which places each page in a Word file as a picture. That preserves the look exactly, but the text is not editable.
Getting a cleaner result
- Try Editable text mode first and open the result in Word.
- Turn on Start each PDF page on a new page if you want the pagination to match the original.
- Fix tables and check the fonts, since Word substitutes a similar font when the original isn’t available.
- If you only need a few pages, use Extract Pages first so there is less to clean up.
Respect the source
Only convert documents you have the right to edit. If the PDF came from someone else, check that you have permission before changing and redistributing it.
