Page numbers and watermarks: best practices for professional PDFs

Two small touches turn a loose stack of pages into a document that looks finished: page numbers and, when needed, a watermark. Both are easy to add to an existing PDF, but a few choices make them far more useful. The same care applies to a confidential watermark, and to any PDF watermark or way to number PDF pages.
Page numbers
- Position. Bottom center is the safest default for reports and letters. Bottom right is common for slides and books that are read on screen. Consistency matters more than the exact spot.
- Format. “Page 3 of 12” is ideal for contracts, forms and anything that could be printed and separated, because a missing page becomes obvious.
- Skip the cover. Cover pages usually go unnumbered. With Add Page Numbers, enter 2- in “Pages to number” to start on page 2, and set “First number” to 1 (or 2, if the cover should still count).
- Size and margin. 9–12 pt text, about 0.4–0.5 inch from the edge, stays legible without competing with your content.
- Number last. If you combine several files, merge them first and number the finished document so the sequence is continuous.
Note that our tool uses Arabic numerals (1, 2, 3); roman numerals for front matter are not supported.
Watermarks
A watermark communicates status at a glance: DRAFT while a document is under review, CONFIDENTIAL for restricted material, SAMPLE for previews, COPY for duplicates.
- Keep it subtle. Light gray at 20–30% opacity is visible without making the page hard to read.
- Diagonal works best for a single word across the page; horizontal suits short labels.
- Use repeated (tiled) marks when you want to discourage copying of the full page, such as a preview of a paid document.
- Don’t rely on it for security. A watermark is a visual signal, not protection: a determined person can remove or crop it.
With Add Watermark you can change the text, size, colour, opacity and angle, and apply it to every page or a range of pages. Text is limited to Latin letters, numbers and common punctuation.
A tidy workflow
- Clean up: remove unneeded pages and rotate sideways ones.
- Merge files into the final order.
- Add page numbers, then any watermark.
- Compress if the file needs to be smaller, and check the result before sending.
